How to automate account quotes with approval

Manual quoting is expensive and slow. A quote that should take minutes turns into an account lookup, a pricing check, an inventory check, a margin review, a PDF, and a follow-up email. HubSpot's 2026 research found that 36% of reps take more than a day to finalize a quote, while a separate survey found that 88% of manufacturers say slow, manual quoting costs them deals.

The goal is not to let AI invent a quote. The goal is to let it prepare the quote correctly, then keep the human on the decisions that matter.

1. Read your systems in place

Do not migrate data to run a trial. Connect read access to the systems that already hold account context, pricing, inventory, policy, and order history. The draft is assembled from live records and scoped to the requesting account.

2. Keep pricing deterministic

The model must never author a price. It extracts what was asked for; the number comes from your own contract records. If the data is missing or conflicting, it refuses and routes to a person rather than guessing. A refusal is a correct answer.

3. Put a human on the gate

Anything discretionary goes to the person with the context to decide: a discount beyond policy, a special term, a margin call, an order approval, a relationship judgment. Nothing commits on its own. Every step is logged.
